Promoting specific time slots in the invitation

When you invite a Customer to self-schedule, specific time slots will automatically be promoted in the invitation. 

InviteOnce gives you the option to further personalize the invitation by selecting your own specific time slots to promote. This encourages your Customer to pick from a set of time slots that suits you best. In the invitation, these promoted time slots will appear as links, allowing your Customer to schedule a meeting in a single click. 

In this article, you’ll learn about how to promote time slots in an invitation.

When sending an invitation via email through InviteOnce

  1. On the Schedule page, select Invite to self-schedule.
  2. Enter your meeting details and set your meeting time frame.
  3. Click Next
  4. In Step 3: External participant notifications, select Send via email through InviteOnce (Figure 1).

  5. By default, the Promote specific time slots in the email box is checked.  The InviteOnce algorithmic scheduling engine automatically selects up to 4 time slots to promote in the email.

    NoteIf you uncheck the Promote specific time slots in the email box, the invitation email is sent without any promoted time slots. The Customer will schedule the meeting using the single link in the email invitation.

  6. To add or remove time slots, click on the Edit button next to the Promote specific time slots in the email checkbox. 
  7. The Select time slots to promote pop-up will appear (Figure 2).

  8. Select the time slots you would like to promote in the invitation email. The time slots you have selected will appear in the Time slots selected list on the right.
  9. To remove a time slot from the invitation email, click the cross next to the time slot in the Time slots selected list on the right.
  10. When you're done, click the Add slots button. 
  11. The invitation email will now include the time slots that you've chosen to promote in the body of the email (Figure 3).

  12. Edit the invitation email if required. In the right pane, you can review a summary of the meeting details.
  13. Click Invite to send your invitation.

When copying the meeting links to your clipboard and sending yourself

  1. On the Schedule page, select Invite to self-schedule.
  2. Enter your meeting details and set your meeting time frame.
  3. Click Next
  4. In Step 3: External participant notifications, select Copy meeting links to clipboard and send yourself (Figure 4).

  5. By default, the Promote specific time slots box is checked.  The InviteOnce algorithmic scheduling engine automatically adds up to 4 time slots to promote in the Meeting links section.

    NoteIf you uncheck the Promote specific time slots box, the Meeting links section will contain a single link that the Customer can use to view all available time slots. The Customer will schedule the meeting using this single link.

  6. To add or remove time slots, click on the Edit button next to the Promote specific time slots checkbox. 
  7. The Select time slots to promote pop-up will appear (Figure 5).

  8. Select the time slots you would like to promote. The time slots you have selected will appear in the Time slots selected list on the right.
  9. To remove a time slot from the invitation email, click the cross next to the time slot in the Time slots selected list on the right.
  10. When you're done, click the Add slots button. 
  11. The Meeting links section will now include the time slots that you've chosen to promote. 
  12. Click Create invitation.
  13. Click the Copy links button to copy the meeting links to your clipboard (Figure 6). Figure 6: Copy links page
  14. You can then send these links to your Customer via email or instant messaging.

Promoting time slots in the invitation does not force the Customer to choose from only those slots. The Customer can click the >>>More times link to view all available time slots which fall within the meeting time frame you defined in the Step 2
