Promoting specific time slots in the invitation email

When you invite a Customer to self-schedule, specific time slots will automatically be promoted in the invitation email.

InviteOnce gives you the option to further personalize the invitation email by selecting your own specific time slots to promote in the email body. This encourages your Customer to pick from a set of time slots that suits you best. In the invitation email, these promoted time slots will appear as links, allowing your Customer to schedule a meeting in a single click.

In this article, you’ll learn about how to promote time slots in an invitation email.

How to promote time slots in the invitation email:

  1. Select the Invite to self-schedule option.

  2. Once you have entered your meeting details and selected a meeting time frame, you will be able to edit the invitation email and review a summary of the meeting details (Figure 1).

  3. By default, the Promote specific time slots in the email box is checked.  The InviteOnce algorithmic scheduling engine automatically selects up to 4 time slots to promote in the email.
  4. To add or remove time slots, click on the Edit button next to the Promote specific time slots in the email checkbox. The Select time slots to promote in the email body popup will appear (Figure 1).Figure 1: Select time slots to promote in the email body

  5. Select the time slots you would like to promote in the invitation email. The time slots you have selected will appear on the right.

    • To remove time slots from the invitation email, click the cross next to the time slot in the Time slots selected list on the right.

  6. When you’re done, click the Add slots button. The invitation email will now include the time slots you have chosen to promote in the body of the email (Figure 2).Figure 2: Invitation email preview

Promoting time slots in the invitation email does not force the Customer to only choose from those slots. The Customer can click the More times link to view all available time slots which fall within the availability you defined in the previous step. Note If you uncheck the Promote specific time slots in the email box, the invitation email is sent without any promoted time slots and the Customer will schedule the meeting using the single link in the email invitation.
