Introduction to InviteOnce Assignment methods

InviteOnce provides robust functionality for automatically assigning meetings to Team members by allowing you to define different Assignment methods to fit specific teams and scenarios. For example, your account executives may be conducting sales calls, while your Customer success team may be conducting onboarding sessions. Each team and each business scenario may have different requirements for how bookings should be assigned.

When you select an Assignment method, you are choosing how meetings will be shared and assigned to your Team members. InviteOnce Resource pools offer three different automatic Assignment methods.

InviteOnce Assignment methods

  • Strict round robin - This method is organization-focused and should be used if achieving an equal distribution of meetings is most important. When scheduling a meeting, available time slots are calculated based on the availability of the next Team member in line and each meeting can only be scheduled with the next team member in line.
  • Flexible round robin - This is a hybrid method that should be used if achieving an equal distribution of meetings is important, but you would still like to retain some level of flexibility when it comes to meeting assignment. When you schedule a meeting, the next-in-line Team member is automatically selected but you can choose to manually override the selection if, for example, the original Team member doesn't have enough available time slots.
  • Pooled availability - This method is availability-focused and should be used if providing the maximum number of time slots is most important. The availability of all Team members within the Resource pool is pooled, and available time slots are calculated based on the availability of all Team members. When a time slot is selected, the meeting is assigned to one of the Team members who is available in that time slot.
